About the Department

The Finance department is a shared services function within the Church of England Central Services (ChECS), working across the NCIs to provide a comprehensive, cost-effective finance service to each organisation, and helping to co-ordinate joint projects where appropriate. Finance incorporates transaction processing, financial and management accounting, Finance systems support, payroll and procurement.  


The Finance team is supporting their NCI clients with some major change and transformation projects, as well as undergoing significant changes to their own ways of working to ensure they can deliver a high-quality Finance service which meets the needs of the NCIs. We have started our Finance Transformation Programme activities which aims to replace the Finance system and related tools within the next 3 years.  


This Project Co-Ordinator role is part of the programme team working towards the successful delivery of Finance solutions and change for the ChECS Finance Function, co-ordinating and supporting activities which span many important aspects of the Finance Transformation Programme (FTP).  The role will sit within the FTP Project Management Office team. 


What you'll be doing

As the FTP Project coordinator your key purpose is to support the project managers with the smooth running of the projects providing administrative support as needed through the operation of project management processes and the co-ordination of actions and activities on their behalf. 

 

You will work closely with the Finance Transformation programme team, Finance, and wider organisational stakeholders at the heart of change, learning how a large and complex project operates, as well as develop a broad range of effective skills and use project and programme management techniques and tools.  

You will be someone with good attention to detail and have a structured, methodological approach. You will have strong written and verbal communication skills and be able to use technology confidently. 


MAIN DUTIES AND RESPONSIBILITIES  

 

Programme Support 

  • Supporting the Project Managers and other Programme Team members as needed in the delivery of FTP Programme activities 

  • Supporting the preparation and delivery of project performance reports and other necessary documentation 

  • Supporting team members to follow up on actions/requests/made and communications.  

 

Administration 

  • Monitoring the programme inbox, triaging, and responding/forwarding as appropriate. 

  • Organising meetings, workshops, other events - booking meetings, meetings rooms, producing/circulating agendas, minute or note taking as required.  

  • Planning and scheduling of project activities and tasks 

  • Assisting the Programme team with compilation, management, or distribution of information  

  • Managing professional relationships with a wide range of internal and external stakeholders 

  • Maintaining confidentiality where necessary 

  • Ad hoc administrative tasks as they arise 


About You

Essential 

Knowledge/Experience 

  • Experience of and confidence in working with a wide range of stakeholders at all levels 

  • Experience of working in a large and complex organisation  

  • Experience of calendar(s) and inbox management including setting up meetings with a large number of stakeholders, and managing shared inboxes 

  • Experience in a project co-ordination or administrative role  

  • Proficient in Microsoft Office 365 particularly Outlook and Teams, but also Word, PowerPoint and Excel. 

 

Skills & Abilities: 

  • Good level of literacy & numeracy  

  • Excellent communication skills with all levels of staff demonstrating clarity and patience. 

  • A methodical approach with an aptitude for accuracy and attention to detail 

  • Timeliness and sensitivity to project deadlines or critical milestones 

  • Able to prioritise workload and meet deadlines. 

  • Highlight or escalate conflicts, priorities or other critical items upon identification. 

  • Ability to handle data accurately; handle sensitive and confidential information appropriately. 

  • Confidence and ability to independently speak to relevant parties regarding any issues arising to understand the details 

  • Flexible, adaptable, proactive and able to work using own initiative 

 

Desirable 

  • Knowledge and understanding of the Church of England (NCIs) 

  • Knowledge and experience of working within the NCIs Project Management Framework or a similar project management approach 

  • Project Support Experience 

  • Experience of using a project management tool (such as DevOps, Asana or MS Project) 


What we offer 
Our benefits include:
  • A salary of £33,382 plus age-related pension contributions between 8-15% of salary. We will also match any pension contributions you make up to an additional 3% of salary.

  • Flexible working hours and location, with an expectation of just 2 days per week in our office in Westminster (Monday and Tuesday).
